Whatever information is relevant

Our legitimate interest in protecting our legal rights

Where you deal with us on behalf of a company, we rely on our legitimate interest in dealing with that company rather than on contract.

You don't have to give us your details, but without them we can't take your order, open an account or reply to you.

Some information comes from others: payment and finance providers confirm payments and applications, credit reference agencies and our credit insurer provide credit information for trade accounts, delivery companies tell us about deliveries, and Google tells us about clicks on our adverts and calls from them.

Our payment providers use automated checks to spot fraud, which can occasionally mean a payment is declined. If that happens, contact us and we will help you pay another way. We don't otherwise make decisions about you by automated means alone.

Who we share it with

We share personal information only with organisations that help us run our business, and where the law requires it. We never sell it, or pass it to other businesses for their own marketing.

  • Visualsoft, which builds and hosts our website and sends our marketing emails
  • Payment and finance providers: Stripe (card, Apple Pay and Google Pay payments on our website, through Visualsoft, and payment links), PayPal (including Pay in 3), Worldpay (card payments at our trade counter) and PMD Business Finance (business finance applications). PayPal, PMD Business Finance and any pay-later provider you choose at checkout make their own checks and use your information under their own privacy notices.
  • Delivery companies, such as DPD, Royal Mail and Parcelforce, and suppliers who send goods to you direct
  • Loqate, which finds your address as you type it
  • Google (analytics, advertising and call tracking), Salesfire (personalisation) only if you accept those cookies
  • Our IT and email providers, including Microsoft, and the marketing agency that manages our Google advertising
  • Our accountants, bookkeepers, insurers and professional advisers
  • Credit reference agencies and our trade credit insurer, for trade accounts on credit
  • HMRC, the police, regulators and courts, where the law requires it or to prevent fraud
  • A buyer or prospective buyer of all or part of our business, under strict confidentiality

Transfers outside the UK

Some of these providers, such as Google, Microsoft, Stripe and PayPal, may process information outside the UK, including in the European Economic Area and the United States. Where they do, the transfer is protected by UK adequacy regulations (for US companies, the UK Extension to the EU-US Data Privacy Framework, where the company has signed up to it) or by the UK International Data Transfer Agreement or the UK Addendum to the EU standard contractual clauses.

You have the right to:

  • get a copy of the personal information we hold about you
  • have anything wrong or incomplete corrected
  • have your information deleted, where we have no good reason to keep it
  • ask us to limit how we use it, for example while we look into a concern you have raised
  • object to our use of it where we rely on our legitimate interests, and to stop marketing at any time
